Privacy Policy

Arcadia Field ("we"/"us") is committed to protecting your privacy. We offer guided slow-walk experiences and overnight retreat packages in natural field settings (the "Experiences"). We also maintain the website, arcadiafield.com (the "Website") as your source for information about our Experiences, company and Services. This Privacy Policy explains how we collect, store, use and share information about our users through the Experiences, the Website and any related services (collectively the "Services"). Using our Services is governed by our Terms of Service, and we'd recommend getting familiar with those. You can find Arcadia Field's Terms of Service at arcadiafield.com.

CONSENT

By using the Services you consent to our collection, use and disclosure of your Personal Information as described in this Privacy Policy. Keep in mind that you're always in control—whether or not to provide Personal Information is entirely your choice. Two types of information can come through the Services: Personal Information and Non-Personal Information. This Privacy Policy doesn't cover information that isn't currently limited by privacy laws, including (a) publicly available information like names, addresses, phone numbers and email addresses listed in directories; or (b) Non-Personal Information (defined below). "Personal Information" means information that identifies you personally, like your name and email address. We hold onto this so we can provide the Services and stay in touch with you. "Non-Personal Information" is anonymous data—things like your Internet Protocol Address (IP Address) and information our web servers collect automatically through your browser or cookies when you visit the Website. We might also gather aggregate information such as how many people visit us and where they're located. This Privacy Policy focuses on Personal Information, but we're laying out our Non-Personal Information practices too, just to be transparent about how the Services actually work.

TYPES OF INFORMATION COLLECTED

Registration & Account: To use the Services, you'll create a user account and pick a username. That username is visible to anyone using the Services, including the community forums and spaces where you can connect with other retreat members. Anything you share in those public areas can be seen and collected by people you don't know. Don't put out Personal Information there, and don't share other people's information either—that violates the Terms of Service. IP Addresses: Your web browser reports your IP address when you visit pages on the Website. We log this alongside your account info. We use it to diagnose problems users report that might be tied to specific IP addresses, see how many visitors we're getting from different regions, and trace sources of malicious or illegal activity so we can shut it down. Arcadia Field Applications on Partner-Operated Websites: If you're using the Services on third-party sites, we might need you to be registered with that partner and install an Arcadia Field app on your partner account. When that's required, you'll typically have to agree to the partner's Terms of Service. Device IDs: When you access our Services, we get info like a unique device identifier so we can sync your account across your devices. This ID doesn't include your name, address, or other personal details linked to that device. Support: Email us or reach out another way, and we keep those conversations to handle your requests, respond to you, and make the Services better. User Feedback: We collect feedback and reviews from people using the Services. You're responsible for understanding and following any third-party feedback policies. Use: We use your Personal Information to give you access to the Services, send you retreat information, sort out service issues, fix problems, analyze how people use the Services, improve what we offer, catch fraud and other crimes, send you system or admin messages, and anything else we tell you about at the time we collect it. All of this is about making the Services safer, smoother, and more tailored to what you actually need.

DISCLOSURES & TRANSFERS

We have safeguards in place to protect your Personal Information at a high level. We won't disclose, transfer, or sell your Personal Information to third parties without your permission, except where this Privacy Policy says we will (check Important Exceptions below).

IMPORTANT EXCEPTIONS

We can disclose your Personal Information to third parties without asking if we believe it's necessary to identify, contact, or take legal action against someone who's causing harm or interfering with our rights or property, other Website members, other users, or anyone else who could be hurt by their actions. We'll also disclose when the law requires it and we believe it's the right thing to do. That said, nothing here limits any legal defenses or objections you might have to a third party—including the government—asking for your info. We might also share your Personal Information if we're going through a corporate reorganization, merger, or selling most of our assets or stock, including during any due diligence process. The company getting your information has to keep using it only as this Privacy Policy allows. We use subsidiaries, affiliates, and third-party service providers (collectively, "Third Parties") to help run the Services and host data off-site. We share your Personal Information with them as needed. We pick Third Parties we trust and believe can do the work properly, including handling confidential and Personal Information and following all applicable laws.

THIRD PARTY SITES & ADVERTISERS

The Services include tracking and analytics tools from service providers. They might use cookies, APIs, and SDKs to collect and analyze data about you and your device on our behalf. They could access information like your device identifier, location, IP address, how you use the app, when you're active, and what content you interact with, all to provide their services and analytics. When you use the Services, you might encounter third-party vendors and websites. We don't share Personal Information with them and we don't control their privacy policies. Whatever you give to them or how they use cookies and web beacons is governed by their privacy policy. If you're wondering about sharing info on another site, contact them directly and check their Privacy Policy. Ads on the Arcadia Field website and in the Services come from us or third-party advertisers. When you click an ad, you might go somewhere we don't monitor or control. Third-party ad servers can set cookies so they recognize your computer and track which ads you see and click. This Privacy Policy doesn't cover third-party ad cookies—look at their privacy policy for that info.

SECURITY

Your Personal Information's security matters a lot to us. We use technical, contractual, administrative, and physical security measures to protect what you give us. We limit who on our staff can access your Personal Information to only those who need it. That said, the internet isn't completely secure. While we do everything we can to protect your data, we can't guarantee it won't be compromised when you send it through the Services. Any transmission is at your own risk, and we're not responsible if someone gets around our privacy settings or security. You've got a role to play too. Never share your passwords, real name, or address. Don't use your real name as your username. Log out and close your browser when you're done using the Website or Services online.

RETENTION

We keep Personal Information only as long as it's needed for the reason we collected it, or as the law requires, which might be after we stop working together. We might hold onto certain data to prevent fraud or abuse, for legitimate business reasons like analyzing aggregate data or recovering accounts, or when the law says we have to. Any Personal Information we keep stays covered by this Privacy Policy.

ACCESSING AND DELETING PERSONAL INFORMATION

Right to erasure (right to be forgotten) - You can review, update, fix, or delete any Personal Information in your account, and you can ask us to close it. To request access, review, verify, correct, or delete your Personal Information, contact our support team at info@arcadiafield.site. We might not be able to make a change if it would break a law or make the information wrong. We may ask for specific details to confirm your identity and your right to access, then provide what we have or make your changes. The law might let us refuse to give you some or all of your information, or we might have already destroyed, erased, or anonymized it as part of our normal retention practices. If we can't give you access, we'll tell you why, within any legal limits. We'll provide access to your Personal Information except where privacy laws allow us not to. That includes information protected by lawyer-client privilege, information in a formal dispute, details about another person that would reveal their info or confidential business stuff, or information that's too expensive to pull together. For deletion requests, we'll take reasonable steps to remove your personal information, but some records—especially payment and customer service stuff—stay for legal and accounting reasons. We might also keep information to exercise or defend our rights. Even after deletion, we can still use anonymized, Non-Personal Information about your activities on the Services. Withdrawing Your Consent

If you've given consent to us collecting, using, transferring, or selling your Personal Information, you may have the right to pull it back in some cases, or to object to or limit how we process, transfer, or sell it. To withdraw consent, contact us at info@arcadiafield.site. Just know that if you do, we might not be able to give you a particular product or service. We'll explain what that means for you so you can decide.

TRANSFERRING YOUR PERSONAL INFORMATION

Your Personal Information might be processed, stored, and transferred to another country where privacy laws could be different from Canada's. In those cases, governments, courts, law enforcement, or regulators there might be able to access your data under their local laws. Whenever we hire a service provider, like a cloud company, we make sure their privacy and security meet this Privacy Policy and Canadian privacy laws. Feel free to contact us if you want to know more about our policies on service providers outside Canada. By giving us your information or using the Site, you're agreeing to this transfer, storage, or processing.

OUR POLICY REGARDING CHILDREN

If you're under 13, you need a parent's permission before using the Services. We won't knowingly contact or engage with kids under 13 without parental consent. We encourage parents and guardians to watch how their children use the Services. Think a child gave us their Personal Information, or worried about how we're collecting or sharing it? AMENDMENT OF THIS POLICY

We can change this Privacy Policy whenever we need to. If we do, we'll post a notice on the homepage at arcadiafield.com. Small changes like clarifications take effect the day we post them. Bigger changes take effect 30 days after we post them. Unless we say otherwise, our current Privacy Policy covers all Personal Information. You'll find the date of the latest update at the bottom of this document. Keep using the Services and you're accepting any changes we make.
